This policy explains how KK Coaching processes personal data collected through kkcoaching.fit and through enquiries about coaching services.

1. Who controls your data

The data controller is KK Coaching, operated by Kacper Kaszowski in Cwmbran, Wales, United Kingdom. For privacy questions, email kacperkaszowskipt@gmail.com.

2. Information we may collect

When you use the enquiry form, you may provide your name, email address, phone / WhatsApp number, location, preferred language, service interest, goal and information about what is currently getting in the way of that goal.

The initial enquiry form is not intended for detailed medical records. If starting coaching requires further health or exercise-readiness information, that information will be collected separately and only to the extent needed to provide the service safely.

3. Why we use your information

Enquiry data is used to respond to you, understand which service may be suitable, arrange a consultation and, if you choose to work with KK Coaching, prepare and provide the agreed service.

The lawful basis may include taking steps at your request before entering a contract, performing a contract, legitimate interests in responding to enquiries and operating the business, or consent where required. Google Analytics only runs after you consent to analytics.

4. Service providers

Technology providers are used to operate the website and deliver services. They may process data only as needed to provide their service. Current providers include Netlify for website hosting and functions, Resend for enquiry emails, Google Analytics where analytics consent is given, Google Maps when you choose to load the interactive location map, and My PT Hub where applicable if you become a coaching client and use the coaching app.

KK Coaching does not sell personal data to advertisers.

5. How long we keep information

Enquiries that do not lead to coaching are kept only for as long as reasonably necessary to manage the enquiry and are ordinarily deleted within 12 months. Client information may be retained during the coaching relationship and afterwards where necessary for records, legal claims, tax or accounting obligations.

6. International processing

Some technology providers may process information outside the UK. Where data protection law requires it, transfers are made using the safeguards available through the relevant provider.

7. Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the processing of your personal data, and to data portability. Where processing relies on consent, you can withdraw that consent without affecting processing that was lawful before withdrawal.

8. Cookies, analytics and embedded content

See the Cookie Policy for more information. Google Analytics is not loaded before analytics consent is given. The interactive Google Map is also not loaded automatically; it is only requested from Google after you choose to load that feature.

This policy may be updated when the website, service providers or legal requirements change. The latest update date is shown at the top of this page.
